What’s included — and what isn’t

Every quote is built from the same two buckets: what your subscription covers, and the handful of third-party costs that run through your own accounts, not ours.

Included in your subscription

  • System deployment, testing, and manual QA before anything goes live
  • Monitoring and health checks on the cadence your tier defines
  • Bug fixes when a deployed workflow breaks
  • Minor workflow adjustments within the originally agreed scope
  • A monthly ops report covering health, incidents, changes, and recommendations

Billed separately (pass-through)

These run through your own accounts at cost. FlowOps doesn’t mark them up or include them in the setup/subscription fee.

  • Telephony/SMS provider fees (Twilio, local carriers, etc.)
  • WhatsApp Business API messaging fees (Meta)
  • AI/LLM usage costs (OpenAI, Claude) for systems with an AI step
  • Third-party data or enrichment provider costs, if used
  • CRM, email, or other software licenses you already pay for

Change requests:a new trigger, new integration, new output destination, or workflow logic materially different from what was deployed is scoped and quoted separately before we start. Minor adjustments within the agreed scope are already covered by your subscription’s monthly improvement allowance.

“Response” means FlowOps confirms the issue and starts work. “Resolution” means the system is restored to working order — a permanent fix may follow separately and is communicated in the next update.

Do I pay anything before you start work?

No. We begin with a free workflow audit — a 15–30 minute conversation where we map your current process and identify the 2–3 highest-value automation opportunities. Payment only comes after you confirm the system scope and deployment plan.

How long does deployment take?

Simple systems (Tier 1) deploy in 1–3 days. Standard systems (Tier 2) take 3–5 days. Complex or enterprise systems (Tier 3) take 7–10 days. You'll see the exact deployment timeline in the scope confirmation before work begins.

Can I start with just one system?

Yes. The Maintain plan at $149/month is designed for 1–2 active systems. You can validate one system works in your operation before expanding. Most clients start with their highest-pain process — missed calls, lead follow-up, or support routing — then add more once the first one is live and measurable.

What does the monthly subscription cover?

The setup fee deploys and QA-tests the system. The monthly subscription keeps it running: health checks on every workflow, bug fixes when something breaks, minor updates as your process changes, and email support. Scale and Operator plans add higher monitoring frequency, improvement iterations, and direct ops calls.

What happens if something breaks after deployment?

Every deployed system includes monitoring and support. If a workflow stops running — due to an API change, tool update, or unexpected input — we fix it under the subscription. Maintain clients receive fixes within 48 hours. Operator clients receive same-day response.

Do I need to be technical to work with FlowOps?

Not at all. You describe what's breaking in your operation in plain language — missed leads, slow follow-up, manual reporting. We map the workflow, propose the solution, and deploy it. You see what it does before it goes live. No technical knowledge required on your side.

Can I cancel the subscription?

Yes. Monthly subscriptions are month-to-month with no long-term contract. We ask for 30 days notice. The deployed systems remain running in your tools after cancellation — you don't lose the automation infrastructure, just the ongoing monitoring and support.

What tools do you integrate with?

Most common business tools: CRM systems (HubSpot, Pipedrive, Salesforce, Airtable), WhatsApp Business API, Gmail, Slack, Telegram, Zoom, Stripe, Shopify, QuickBooks, Google Sheets, Google Calendar, and most platforms with a webhook or public API. If you use a tool not listed here, ask during the audit — we assess it case by case.

What's the difference between a system and a stack?

A system is one focused automation — e.g., Missed Call Recovery or CRM Follow-up. A stack is a bundle of 4 coordinated systems covering a complete business function (sales, support, or voice). Stacks are priced at 18–22% below buying the same systems individually, and deploy under one scope instead of four.
